WOMEN WANDER WILD LTD

BOOKING TERMS & CONDITIONS

Last updated: October 2026

These Booking Terms & Conditions apply to bookings made with Women Wander Wild Ltd (“Women Wander Wild”, “WWW”, “we”, “us” or “our”) for events, courses, guided walks, challenges, weekends, expeditions and other activities (“Events”).

By making a booking, paying a deposit or instalment, or attending an Event, you confirm that you have read, understood and agree to these Terms & Conditions.

Nothing in these Terms affects any statutory rights which cannot legally be excluded or limited.

1. BOOKING

A booking is confirmed when we accept your booking and receive the required deposit, payment or first instalment.

The person making the booking is responsible for ensuring that all information provided to us is accurate and for making all participants included within their booking aware of these Terms & Conditions.

You must be aged 18 or over to book or participate in a Women Wander Wild Event unless we expressly state otherwise.

Places are subject to availability and may be withdrawn at any time before a booking is confirmed.

2. EVENT INFORMATION

We aim to provide accurate information about each Event, including its approximate duration, difficulty, expected terrain, accommodation and planned activities.

Outdoor Events are inherently variable. Distances, timings, routes, summits, activities and itineraries should therefore be regarded as planned objectives rather than guaranteed outcomes.

By booking, you acknowledge that reasonable changes may need to be made before or during an Event.

3. FITNESS TO PARTICIPATE

It is your responsibility to ensure that you have an appropriate level of physical fitness, mobility and capability for the Event you have booked.

You must read the Event description and any information provided about distance, ascent, terrain, technical difficulty, duration and expected fitness before booking.

If you are uncertain whether an Event is suitable for you, you should contact us before booking.

By attending an Event, you confirm that you reasonably believe yourself to be physically capable of taking part.

Where appropriate, participants must disclose relevant medical conditions, injuries, allergies, medications or other information which may reasonably affect their safe participation or the provision of emergency assistance.

Having a medical condition or disability will not automatically prevent participation. Wherever reasonably possible we will work with participants to understand appropriate adjustments. However, some activities take place in remote, mountainous or technically demanding environments and reasonable adjustments may be limited by the nature of the activity and safety considerations.

Participants are responsible for bringing any medication they may require and ensuring that it is readily accessible.

4. ASSESSMENT OF PARTICIPANT FITNESS AND CAPABILITY

Our leaders have authority to assess whether a participant appears sufficiently fit, equipped or capable to participate safely.

A leader may, where reasonably necessary:

  • prevent a participant from starting an activity;
  • ask a participant to leave or withdraw from an activity;
  • turn a participant around;
  • require a participant to take an easier route;
  • alter the pace or itinerary;
  • separate or reorganise groups; or
  • take any other reasonable action necessary to manage safety.

This may include circumstances where a participant's fitness, health, behaviour, equipment, pace or technical ability is considered unsuitable for the planned activity.

Safety decisions made by a leader during an Event are final.

Where a participant is unable to complete an Event because of their personal fitness, health, equipment, conduct or capability, this does not in itself create an entitlement to a refund.

5. PERSONAL RESPONSIBILITY AND CONDUCT

Outdoor and adventure activities involve inherent risks which cannot be completely removed.

Depending on the Event, these may include uneven or steep terrain, slips and falls, rockfall, water hazards, exposure, difficult weather, cold or heat, remoteness, fatigue, technical terrain and delayed access to emergency assistance.

By booking, you acknowledge the nature of the activity and agree to take reasonable responsibility for your own safety.

You must:

  • follow reasonable instructions from leaders and instructors;
  • behave responsibly towards other participants, staff and members of the public;
  • use equipment appropriately;
  • inform a leader if you are struggling, injured or becoming unwell;
  • avoid deliberately placing yourself or others at unnecessary risk; and
  • arrive suitably equipped for the Event.

Participants must not take part while impaired by alcohol, recreational drugs or any other substance which makes participation unsafe.

We reserve the right to remove a participant from an Event where their behaviour presents a safety risk, significantly disrupts the group, involves harassment or abusive behaviour, or repeatedly disregards leader instructions.

No refund will normally be provided where participation is ended because of the participant's conduct.

6. EQUIPMENT

You are responsible for bringing all mandatory equipment identified on the Event kit list.

A leader may refuse participation where essential safety equipment is missing or unsuitable.

Where we or a third-party provider supplies equipment, you must use it in accordance with the instructions given and take reasonable care of it.

Unless expressly stated otherwise, participants remain responsible for their own personal clothing, footwear and equipment.

7. WEATHER AND OUTDOOR CONDITIONS

Weather is an inherent part of outdoor activity and poor weather does not automatically mean that an Event will be cancelled.

Events may operate in rain, wind, snow, low cloud, cold, heat or other challenging conditions where leaders determine that it remains reasonable and safe to do so.

Forecasts can change rapidly and actual mountain conditions may differ significantly from forecasts.

Our leaders and instructors will continually assess conditions and may change plans where necessary.

This may include:

  • changing the intended route;
  • avoiding a summit, ridge or technical feature;
  • shortening an activity;
  • changing the start or finish point;
  • changing timings;
  • substituting one route or activity for another;
  • moving an activity to a different location; or
  • cancelling part of an itinerary.

The achievement of any particular summit, route, scramble, challenge or objective is never guaranteed.

Safety will always take priority over completing the advertised objective.

A reasonable change to an itinerary because of weather, ground conditions, access, participant welfare or safety will not automatically entitle a participant to a refund where the Event or a reasonable alternative continues to be provided.

Any statutory rights applying to significant changes to a package or travel contract remain unaffected.

8. LEADERS, INSTRUCTORS AND STAFF

Events may be delivered by Women Wander Wild employees, directors, ambassadors, event hosts, freelance leaders, instructors or specialist third-party providers.

We will use personnel who we reasonably consider appropriately competent for the role they are undertaking and will use qualifications where these are required or appropriate for the relevant activity.

The individual originally advertised or expected to lead an Event is not guaranteed.

We may replace leaders, instructors, hosts or other staff where necessary without this constituting cancellation of the Event.

Different sections or activities within an Event may be delivered by different members of the team.

Leaders and instructors have authority to make operational and safety decisions during the Event. Participants are expected to follow their reasonable instructions promptly.

Where specialist activities are delivered by an external provider, participants may additionally be required to comply with that provider's terms, operating procedures and safety requirements.

9. ITINERARY CHANGES

Adventure Events require flexibility.

We reserve the right to make reasonable changes to an Event where necessary because of circumstances including, but not limited to:

  • weather;
  • mountain or environmental conditions;
  • access restrictions;
  • path or road closures;
  • water levels;
  • snow or ice;
  • participant welfare;
  • staffing;
  • accommodation issues;
  • transport disruption;
  • third-party supplier changes;
  • equipment failure;
  • local restrictions; or
  • safety considerations.

Where reasonably practicable, we will attempt to provide a suitable alternative.

The decision as to whether a particular activity or route is safe and appropriate rests with the leader, instructor or provider responsible for that activity.

10. CUSTOMER CANCELLATIONS

Bookings for our Events are made for specific dates and capacity is limited. When you book, we may immediately commit funds to accommodation, instructors, venues, equipment, transport and other suppliers.

Accordingly, bookings should be regarded as non-refundable unless these Terms or applicable law provide otherwise.

For leisure services, accommodation and related services supplied for specified dates, the statutory 14-day cancellation period applicable to many online purchases will not normally apply.

If you choose to cancel, withdraw or fail to attend an Event, you should not assume that you will receive a refund.

Our cancellation charge may be up to 100% of the Event price where this reasonably reflects the costs and losses arising from your cancellation.

Where required by consumer law, we will take into account costs we have avoided and any losses we have reasonably been able to mitigate, including where a cancelled place has been successfully resold.

Any refund legally due may therefore be reduced by irrecoverable supplier costs, reasonable administration expenses and other losses directly resulting from the cancellation where permitted by law.

Choosing not to attend because of personal circumstances, work commitments, illness, injury, transport problems, pregnancy, family circumstances, changes of mind or concerns about forecast weather does not automatically create a right to a refund.

This is why appropriate travel insurance is an essential condition of booking.

11. TRAVEL INSURANCE

You are responsible for arranging appropriate insurance from the point at which you book.

Your policy should be suitable for the Event and, where relevant, should provide cover for:

  • cancellation;
  • illness and injury;
  • medical treatment;
  • travel disruption;
  • missed transport;
  • loss or damage to belongings;
  • the activities being undertaken;
  • mountain or adventure activities;
  • emergency evacuation; and
  • repatriation for overseas Events.

You should check the policy wording carefully rather than assuming an activity is covered.

For overseas Events, you must have appropriate travel insurance unless we expressly confirm otherwise.

For UK Events, we strongly require participants to arrange appropriate cancellation/travel insurance because we cannot accept responsibility for losses arising from circumstances personal to you.

Failure to obtain suitable insurance does not transfer responsibility for an uninsured loss to Women Wander Wild.

12. MISSED OR LATE PAYMENTS

Where an Event is being paid for by instalments, payments must be made according to the agreed payment schedule.

Failure to make a payment when due may result in cancellation of your booking.

We will normally attempt to contact you before cancelling your place.

Cancellation because of non-payment will be treated as a cancellation by the customer and any outstanding cancellation charges may remain payable.

13. CANCELLATION BY WOMEN WANDER WILD

We reserve the right to cancel an Event where we reasonably consider cancellation necessary.

Reasons may include, but are not limited to:

  • unsafe weather or environmental conditions;
  • insufficient participant numbers;
  • illness or unexpected unavailability of essential staff;
  • accommodation becoming unavailable;
  • failure of a supplier;
  • access restrictions;
  • transport problems;
  • safety concerns;
  • significant operational difficulties;
  • circumstances beyond our reasonable control; or
  • other legitimate operational or commercial reasons.

Where we cancel an Event, your rights will depend upon the circumstances, the services included in your booking and the applicable law.

Except where required by law, Women Wander Wild will not be responsible for consequential expenditure you have independently incurred in connection with an Event, such as travel, hotels booked separately, equipment purchases, airport parking, visas or loss of earnings.

Participants should therefore ensure that such expenditure is appropriately insured wherever possible.

14. MINIMUM NUMBERS

Some Events require a minimum number of participants to operate.

Where minimum numbers are not reached, we may cancel, combine or modify an Event where permitted by law.

Where an Event constitutes a package under the Package Travel and Linked Travel Arrangements Regulations 2018, any cancellation because minimum numbers have not been reached will be handled in accordance with the applicable statutory notice periods and refund requirements.

15. UNAVOIDABLE AND EXTRAORDINARY CIRCUMSTANCES

Events may be affected by circumstances outside our reasonable control.

Examples may include severe weather, natural disasters, wildfire, flooding, epidemics, government restrictions, war, terrorism, civil unrest, strikes, transport disruption, road closures or significant infrastructure failure.

Where such circumstances affect an Event, we will act reasonably in determining whether the Event can proceed, should be modified or must be cancelled.

Your statutory rights, including any rights arising under package travel legislation, remain unaffected.

16. THIRD-PARTY SUPPLIERS

We may use third parties to supply accommodation, catering, instruction, transport, equipment hire or activities.

Although we take reasonable care when selecting suppliers, individual providers remain responsible for delivering their own services subject to any legal responsibility which Women Wander Wild itself has as organiser.

Where the Package Travel and Linked Travel Arrangements Regulations 2018 apply, nothing in this clause limits any responsibility placed upon us as the package organiser.

17. TRANSPORT TO EVENTS

Unless expressly included in the Event description, participants are responsible for arranging their own transport to and from the Event and any stated meeting point.

You should allow sufficient time for travel and consider disruption, road conditions and weather.

Missing the Event, an activity or departure because of your own transport difficulties will normally be treated in the same way as customer cancellation or non-attendance.

Where transport forms part of the Event package, separate arrangements may apply.

18. ACCOMMODATION

Where accommodation is included, accommodation arrangements will be described as accurately as reasonably possible.

We reserve the right to change the style and location of accommodation where required.

Adventure accommodation may include hostels, bunkhouses, campsites, mountain refuges, bothies or shared rooms.

Participants must behave respectfully towards accommodation providers, staff, other guests and other members of the group.

You will be responsible for damage which you deliberately cause or which results from your negligence.

Reasonable substitutions of accommodation may be made where necessary, subject to any rights you have under applicable package travel or consumer legislation.

19. PERSONAL PROPERTY

Participants remain responsible for their own belongings.

Women Wander Wild cannot guarantee the security of personal items at accommodation, activity locations, vehicles or in outdoor environments.

We recommend that valuable items are kept to a minimum and appropriately insured.

Nothing in this clause excludes liability where it would be unlawful to do so.

20. INHERENT RISK AND LIABILITY

Women Wander Wild takes reasonable steps to plan and manage its Events safely.

However, participation in walking, mountaineering, scrambling, climbing, paddlesports, coasteering and other adventure activities involves inherent risks.

By participating, you acknowledge that these activities cannot be made completely risk-free.

Nothing in these Terms excludes or restricts our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability which cannot legally be excluded.

Nothing in these Terms removes your rights under the Consumer Rights Act 2015 or other applicable legislation.

21. EMERGENCIES

In an emergency, leaders may take any reasonable action considered necessary to protect the participant or group.

This may include contacting emergency services, requesting mountain rescue or other assistance, modifying or abandoning the activity, administering first aid within the responder's competence, or arranging evacuation.

For overseas Events, participants are responsible for ensuring that their insurance provides adequate cover for emergency medical treatment, evacuation and repatriation.

22. PHOTOGRAPHY AND MEDIA

Photographs and video may be taken during Events.

Where we intend to use identifiable images for promotional purposes, we will manage this in accordance with our privacy arrangements and any consent process communicated to participants.

If you do not wish to appear in promotional photography, please inform us.

23. PERSONAL DATA

We will process personal information in accordance with applicable data protection law and our Privacy Policy.

Medical and emergency information will only be collected and used where reasonably necessary for participant safety, Event administration or another lawful purpose.

24. COMPLAINTS

If you experience a problem during an Event, please raise it with the Event leader or host as soon as reasonably possible so that we have an opportunity to address it.

If the issue cannot be resolved during the Event, please contact Women Wander Wild after the Event with details of your concern.

Nothing in this complaints process affects your statutory rights.

25. PACKAGE TRAVEL RIGHTS

Some Women Wander Wild Events may constitute a “package” for the purposes of the Package Travel and Linked Travel Arrangements Regulations 2018.

Where those Regulations apply, the statutory rights and obligations contained within them form part of the booking regardless of anything stated elsewhere in these Terms.

If there is any conflict between these Terms and a mandatory requirement of the Regulations, the Regulations will take precedence.

Additional statutory information may be supplied to participants for Events which fall within the Regulations.

26. CHANGES TO THESE TERMS

We may update these Terms periodically.

The Terms applicable to your booking will normally be those in force when your booking was made, unless a change is required by law or is agreed with you.

27. SEVERABILITY

If any part of these Terms is found to be invalid, unlawful or unenforceable, the remaining provisions will continue to apply.

28. ENTIRE AGREEMENT AND STATUTORY RIGHTS

These Terms, together with the relevant Event description, booking confirmation and any specific conditions communicated at the time of booking, form the agreement between you and Women Wander Wild.

Nothing in these Terms is intended to exclude, restrict or reduce any consumer right which cannot legally be excluded.

By completing your booking, you confirm that you have read and accepted these Booking Terms & Conditions.
